Business Process Re-Engineering

Business process re-engineering (BPR) is a business management strategy, focusing on the analysis and design of workflows and business processes within an organization. BPR aimed to help organizations fundamentally rethink how they do their work in order to improve customer service, cut operational costs, and become world-class competitors.

BPR seeks to help companies radically restructure their organizations by focusing on the ground-up design of their business processes.
Business process reengineering is also known as business process redesign, business transformation, or business process change management.

BPR Cycle:

  1. Identify Processes
  2. Review, Update, Analyze As-Is
  3. Design To-Be
  4. Test & Improvement To-Be

Standardized work is:

“A method of allowing the workgroups to document a standard for performing their tasks, centered around human movement, in a manner that will provide for continuous improvement through the elimination of waste”

"One of the most useful systems to streamline your business is having a Standard Operating Procedures (SOP) manual.  This manual lists all the tasks that are essential for your business success, how to do these tasks, and who is responsible for the tasks listed”

-- Sonja Vorster | Virtual Productivity Solutions

Standardized Work Benefits

Controllable: Process steps are identified, the who does it, how does he do it, when is it done, and why is it done are identified, thus the process steps are controlled
Observable: since the process is documented and the “Who Does What” is known, the process can easily be observed to identify the best, safest, fastest… methods to perform a task

Measurable: since the process steps are clearly identified, work content can be measured against time, errors, productivity…etc
Improvable: what is measured can be improved, similarly, what is documented can be diagnosed and improved

Repeatable: Standardized processes; the same process can be performed by different employees in the same way, with the same quality, within the same timeframe
Trainable: Reduced learning curve/training time for new employees
Transferable: Ensured business continuity; know-how is not monopolized by specific employees. Alternatively, delegating tasks becomes virtually risk-free

Objectives:

  • Improve the synergy, communication, and cooperation within and between the different Departments / Functions
  • Clearly identify the roles and responsibilities of each Department / Function
  • Improve utilization of employees’ time and skills
  • Eliminate wastes from the existing processes to enable faster completion of the day-to-day operations, as well as faster responses to any changes
  • Measure and control processes through KPIs
  • Through Skills Matrices, lay the foundation for Business Continuity and employees’ skills enhancement

And last but not least:

•Be prepared for growth
